A shift handover should let the incoming team understand the equipment's current status and the work it is authorized to perform. A broad note such as line ready can conceal outstanding maintenance, a cleaning review or an unresolved operating restriction.

Keep the handover concise and connect it with the controlled records that support the status. It should not replace those records or ask the next shift to reconstruct a conversation.

State the current equipment condition

Identify the line or machine, product and format where relevant, and the handover reference. Record the current state using the factory's approved status method. Distinguish an observed condition from a confirmed cause.

If equipment is restricted, held from use or awaiting a decision, the physical identification and handover record should agree. Only authorized personnel may change that status under the applicable procedure.

Reference the complete supporting documents rather than copying selected values into an uncontrolled summary.

Make open work actionable

Identify the owner and the evidence needed to close each item. A recurring problem should retain its earlier references so the history is not lost between shifts.

Do not treat an apparently successful restart as proof that every issue is closed. Product status, machine readiness and document completion may require separate authorized decisions.

For retort operations, actual process records remain within the approved product system. For closing equipment, the required container checks are not replaced by a general shift note.

Confirm the incoming team's understanding

Use the factory's approved handover method to resolve ambiguous entries and accept responsibility for the next work. Retain corrections and outstanding questions under the record-control procedure.

The line-event observation guide helps describe stops without assigning an unsupported cause. The HACCP responsibility guide retains the distinction between routine operating information and required food-safety decisions. Use the canning line scope to identify the relevant equipment boundaries.

The finished handover should make the actual condition, evidence and authorized next action clear. Its value comes from accurate status and usable references, not from the number of boxes ticked.
