A useful canning line request for quotation lets suppliers evaluate the same project. Sending only a product name and a daily output target leaves important choices to assumption, making the replies difficult to compare.
Prepare one enquiry pack and issue it with a revision number. Missing information can remain an open question, but it should be identified rather than replaced with an invented specification.
The minimum enquiry pack
| RFQ section | Information to provide |
|---|---|
| Product | Product family, pack form, ingredients relevant to handling and representative samples |
| Incoming material | Receiving state, size distribution, preparation already completed and storage arrangements |
| Container | Can and end supplier drawings, material, format and planned alternatives |
| Output | Required accepted packs over a defined production window and planned product mix |
| Site | Layout, access restrictions, installation location and available services |
| Scope | Operations to include, existing machines to retain and work supplied by others |
| Acceptance | Trial materials, measurements, witnesses and documents expected |

Describe variation, not just the easiest product
List the range of sizes, textures and filling media the equipment must handle. Explain whether these variations occur between batches or within one incoming lot. A supplier can then identify where trials or alternative tooling are needed.
Include photographs with a scale reference when useful, but keep drawings and written specifications as the dimensional basis. A photograph of a filled can does not establish can-end compatibility or the product's processing requirements.
Ask for a response in the same structure
Require each supplier to identify assumptions, exclusions and questions beside the corresponding RFQ section. Request an equipment list that follows the product route, with interfaces to buyer-supplied equipment marked clearly.
For a mixed project, begin with the canning line solutions and identify the relevant product family. A canned meat line and a fish canning line need different product-handling information even when both use filling, seaming and retorting modules.
Control clarifications and revisions
Maintain one enquiry revision for the comparison. If a product or container changes, send the change to every participating supplier and ask which parts of the proposal it affects. Keep superseded documents for traceability, but mark the current issue unmistakably.
Before evaluating price, use the equipment quotation comparison to reconcile supply boundaries. The RFQ is ready when a supplier can explain what remains to be proven and what evidence will resolve it, without guessing the intended product.
